RECEPTIONIST (part-time)

As the receptionist, you will be responsible for greeting clients and employees, answering incoming phone calls, and performing general administrative tasks.  Must be able to work 20 hours per week from 8:00 a.m. – 12:00 p.m., Monday – Friday.

ESSENTIAL FUNCTIONS:

  • Greets all visitors and employees in a courteous manner.
  • Answers high-volume calls on a multi-line phone system; screens and routes calls; takes messages as needed.
  • Maintains security by ensuring visitors sign in/out and arranges for an escort beyond the lobby area.
  • Provides general office support; orders office supplies.
  • Receives and distributes all incoming mail; prepares outgoing mail; maintains running log for postage meter and postage stamps.
  • Maintains documentation for current job opportunities; distributes to Human Resources on a daily basis.
  • Coordinates travel arrangements, hotel reservations, and off-site meetings, as requested.
  • Orders and distributes employee recognition gifts, holiday cards, etc.; maintains documentation.
  • Ensures lobby is clean and organized; waters plants; assists with holiday decorations.
  • Performs other duties, as assigned.

JOB REQUIREMENTS:

  • High school diploma or equivalent, required.
  • Requires a consistent and dependable work history, ideally reflecting 3-5 years of tenure with each previous employer.
  • Minimum of 3 years experience with a solid history of positive customer interaction.
  • Protects the organization’s value by keeping information secure and confidential.
  • Reliable, courteous, and professional at all times; the ability to work well with others is vital.
  • Effective communication abilities with writing, speaking, and listening.
  • Able to take direction and follow through with requests in an accurate and timely manner.
  • Solid organizational and time management skills are critical to this position.
  • Detail-oriented with a meticulous focus on accuracy.
  • Proficient with MS Office.
